Privacy
Flakk (in formation, Reykjavík) is the data controller for your Flakk account, and the data processor for your guests’ personal data that you handle through Flakk.
What we collect
- Account data: your name, email, phone and property details.
- Billing data: invoicing details for your subscription.
- Guest data, on your behalf: names, contact details, booking details, the guest register (name, kennitala or date of birth, nationality, passport number) and messages routed through Flakk.
- Guest-line calls: recordings and transcripts of calls to the AI guest line. Every caller is told at the start of the call that they are speaking to an AI and that the call is recorded.
- Usage data: pages visited, features used and errors, to improve the service.
What we don’t hold
Card numbers and guest money. Card payments are processed by your property’s own acquirer (Teya, Straumur or Rapyd). Flakk sends payment instructions and records the result; funds settle directly to your merchant account.
Why we process it
- To provide the service you signed up for, including the guest register and the monthly Hagstofa report you are required to file.
- To bill you for the service.
- To comply with Icelandic bookkeeping law, which requires accounting records to be kept for seven years.
- To respond to legal requests we are required to answer.
Where it lives
Account and guest data are hosted in the European Union, encrypted at rest and in transit. The sub-processors we use, and where they process data, are listed in the data processing agreement signed with each property.
Your rights
You can ask for access to, correction, export or deletion of your personal data by contacting us. We answer within 30 days. If you are unhappy with our answer, you can complain to Persónuvernd, the Icelandic Data Protection Authority.
Guest data
For your guests’ data, you are the controller and Flakk is the processor. Guests who want their data deleted should contact the property; you action it in Flakk, and we remove it, except where the law requires it to be kept.
